AGen Document tracking with UHF RFID technology streamlines the management of documents by attaching RFID tags to each item, which are then read by strategically placed RFID readers. The data is processed by management software, providing instant access to document status, enhancing security, and ensuring efficient retrieval and inventory management. How It Works

1. Tagging Documents: Each document is equipped with an RFID tag containing a unique identifier. This identifier is linked to metadata about the document in a central database. Each document is assigned an RFID tag, which is programmed with a unique identifier (ID). This ID is linked to detailed information about the document in a central database (e.g., document type, owner, storage location, creation date). Tags are typically attached to the document in a non-intrusive way, such as on a cover page or within a folder.

2. Tracking Movements: RFID readers installed at key locations (e.g., document counter or table) detect the tags as documents pass by. Handheld readers can be used for inventory checks. Fixed Readers: Installed at strategic points like office entrances/exits, file rooms, and high-traffic areas. These readers continuously scan for nearby tags and capture their unique IDs. Handheld Readers: Used by staff to scan specific areas or shelves to quickly locate documents or perform routine document checks.

3. Data Collection: The readers capture the tag information and send it to the software, which logs the document's location and movement in real-time. When a document passes by a reader, the reader captures the tag’s ID and sends it to the AGen software. The AGen processes this data, eliminating duplicates and errors, then store the cleaned data to the AGen Document management software.

4. Managing Information: The software allows users to track the status and location of documents, search for specific documents, and generate reports on document usage and movement. The management software updates the document’s status and location in real-time based on the data received. Users then can search for specific documents, see their last known location, and track their movement history. Alerts and notifications can be configured for specific events, such as unauthorized document movement or documents detected at designated area.
